This position is full-time, hybrid, and seeking those who are local to the Peninsula, SF Bay Area only.

Armis is hiring for an Office Manager who wants to help optimize and create a meaningful and satisfying employee work experience. Reporting into the People Operations team, this person will support various people focused programs, manage our day to day office operations, and provide operational and executive administrative support.  This role will be able to work independently, using their own discretion and judgment in managing their own time.

RESPONSIBILITIES:

People Operations Assistance: 

  • Manage and provide a high touch new hire employee experience by facilitating all onboarding activities
  • Help with recruiting coordination, benefits administration, learning and development programs, and compliance
  • Administer fun and organized people programs that reinforce our missions and company values, policies, internal procedures, and company perks and benefits. 
  • Create and deliver people programs and events that support our employees' engagement and wellness (team outings, virtual and in-office events, offsites, etc)  

Office Management:

  • Serve as an ambassador of the company and first point of contact for new hires and external visitors
  • Keep our office running smoothly by ensuring a clean, organized, stocked, and "ready to create great things" environment.
  • Manage vendors and contractors - purchasing and upkeep of workstations, furniture, office supplies, food catering and weekly snacks
  • Point of contact between the company and office building management (e.g. repairs, building code compliance, etc.)
  • Own space planning, including frequent seating rearrangements; assist with build-out of expansion office space

Administrative Assistance: 

  • Arrange team events including on/offsite meetings, special events, and departmental functions, including the preparation of materials, logistics, and catering requirements
  • Special projects as requested

Requirements

QUALIFICATIONS:

  • 5+ years of direct professional experience 
  • Proficient in productivity tools: GSuite and Microsoft Office, Asana or Trello, DocuSign, and other Saas based tools.  
  • Prior hands-on experience with HR systems preferred (ATS, Bamboo, etc)
  • Strong organizational skills with the ability to effectively prioritize multiple projects and demands, accompanied with strong follow-up skills
  • Excellent customer service and communication skills, both verbal and written
  • Possesses a high degree of initiative; resourceful in hunting for information/answers
  • Excellent attention to detail, including accuracy in spelling, grammar, and punctuation
  • Proven ability to handle sensitive and confidential information in a discrete and professional manner.
